Scan more intelligently with Microform
Enhanced capture solutions on show at the DMS-Expo in Essen, Germany, from Sept. 25 to 27, 2007
Fast, economical, easy to use and intelligent these are the attributes of the capturing solutions Microform, together with the service and sales partner, G.O.S. Gesellschaft für Optische Speichersysteme mbH, from Rehlingen-Siersburg, will be presenting at this year´s DMS-Expo in Essen.
The centerpiece of this presentation will be the high-performance scanners from Microform, combined with detection and classification technologies from Docutec AG headquartered in Aachen, Germany. Thanks to this combination, documents can, in the course of processing, be classified according to document type and assigned for predefined subsequent processing functions immediately after being scanned. Likewise, data can be extracted directly such as when processing incoming mail or archived documents that require evaluation and the information gathered transferred directly to IT systems for further processing. It is also possible to import images from external sources with this system. These flexible processes are supported by Microform's Smart Color Detection, an intelligent color detection and automated color control function.

Foundation of Microform Partner Group at CeBIT 2007 in Hanover
Ever since its own foundation, Microform has been working hand in hand with strong, international sales partners. And these partners are now synchronizing their efforts even more closely than before under the umbrella of the new Microform Partner Group, which was founded on March 18, 2007 at CeBIT in Hanover. "This step sees yet another part of our vision of intensive cooperation with and between our sales partners across national borders come to fruition", enthuses Roland Reinberger, founder of Microform GmbH in Germany and mentor to this syndicate of firms from northern, central and southern Europe.
All of the partners are specialists in the field of digital, analog and hybrid data storage and archiving and successful operators in this field over many years. In addition to a high level of experience and expertise, they also possesses specialist knowledge in one or more business areas, such as in industry, trade, healthcare, banking, insurance or archiving. "Our primary objective is to combine our enormous wealth of experience and knowledge into a single communication platform and in this way to proactively promote the transfer of know-how", explains Barry Minty, CEO of DocStor Ltd in the UK. "This will in the end benefit the end users, enabling us to improve consulting and support."
Microform Partner Group sees itself as an internationally operating association of independent companies. Apart from the creation of a knowledge base and the regular exchange of experiences, the Group's main emphasis is on developing market-specific solutions, which will in future be released and put on display by means of joint presentations held at regional and supraregional events all over Europe. Microform scanners to tackle infringements of the law
The Regional Board of Kassel, Germany, introduces the "paperless file" and puts its trust in scanners from Microform.
In 2006 the Regional Board of Kassel handled around 1.3 million infringements of the law, of which around 22,000 dossiers were forwarded to the courts for appeals. That's a lot of paper if these dossiers take the form of conventional hardcopy files. Andreas Werner of the IT department at the Central Fines Office (ZBS) in Kassel illustrates this by explaining, "Approximately 12,000 mail items passed through the hands of a large number of ZBS staff every day." But an end is being put to all that now: the Ministry of Justice in Hesse, together with the Central Cautions and Fines Office, and in close cooperation with ekom21 GmbH, has developed a system for "digitized handling of legal matters pertaining to infringements of the law" and is using it to introduce the "paperless file" to the legal system.
The cornerstone of this solution are two high-performance scanners of type MF S 385 and MF S 455 from Microform. These units actually detect 2-D bar codes while scanning and then automatically categorize the processed documents according to the main categorization criterion, "File number", and the respective document type. An additional highlight in the system is provided by the color capability of the MF S 455. Many of the documents, such as road-accident files, have color photographs attached to them, which the MF S 455 is able to process without any problem thanks to its unique beltless paper transport system. With the aid of its automatic color detection functionality, the scanner decides for itself during the scanning process whether images are to be created in black and white or in color. This saves valuable memory capacity, while at the same time ensuring that important information in color documents is preserved. "Color images increase the level of acceptance of electronic files", argues Werner. "The photos often record images of accident scenes or other information of relevance to investigations, which are far easier to see in color than they would be in black and white. The color images provide for a far more conclusive and more efficient appraisal of evidence in court."
Thanks to the "paperless office", it's not only been possible to reduce the number of staff handling paper files at ZBS and to reassign them to other tasks - the need for space has also shrunk, together with the size of the paper mountains. This has allowed the Regional Board to relocate staff from a branch office to the main office complex - and save a sum of € 150,000 p.a. on rent. What's more, the electronic file will considerably shorten the handling time of various processes.
The prototype of the system for "digitized handling of legal matters pertaining to infringements of the law" is now in the starting blocks. The Hesse authority will be demonstrating how this system works at CeBIT 2007 in Hanover, Germany, in Hall 9 on Stand C 40.

Digital, analog or perhaps hybrid? Everything's possible with Microform
This year's CeBIT in Hanover, Germany, (March 15 to 21, 2007) sees Microform launch yet more new solutions to document archiving.
Efficient and reliable document capturing has long been a forte of Microform.. And the specialists for archiving systems will once again be demonstrating precisely this at CeBIT 2007. The key to success is not only our high-performance scanners but above all our Best Image Quality concept: Microform develops digital archiving equipment and functions to meet the growing needs of users so that it is always in a position to offer the solutions the market currently requires and to set standards for efficient scanning solutions.
At the centre of this are the intelligent color detection and automated color control functionalities, which are ideal for performing complex capturing processes. Complex manual sorting and preparatory work are eliminated, cost-intensive patch code sheets are no longer required, and security when using detection technologies is greatly improved.
What's more, Microform's scanners are now equipped with a new edge enhancement algorithm that further improves the visualization of images, assists detection and recognition technologies used downstream in the process, and optimizes read rates and detection processes.
Another addition to the concept is the QSI module. QSI is taken from the German "Qualitätssicherung- und Indexierung" and stands for "quality assurance and indexing". The module gives users the opportunity to index, check, and post-edit images if needs be, at a separate workstation and detached from the scanner hardware. "With this module, users can carry out complex work such as indexing, data acquisition or image processing without any negative effect on the high productivity of the scanner hardware", explains Andreas Klinke, Marketing and Sales Manager at Microform.
But the experts for digital, analog and hybrid storage systems have by no means lost sight of the topic of long-term archiving. The declared goal is to achieve economically sound and secure archiving including and especially over extended periods while keeping migration expenditure as low as possible. To this end, Microform is backing hybrid storage systems with which one can combine the flexibility of digital media with the efficiency and archiving security of microfilm. As a constituent part of this concept, Microform will be presenting a new microfilm developing machine at CeBIT 2007, the FP 505 Film Processor. "The FP 505 is an efficient production system that enables microfilm to be used in an up-to-date and convenient manner especially as a backup solution", underlines Klinke.

Microfilm fit for the 21st century
Microform GmbH adds a fully automatic microfilm developing machine to its portfolio in preparation for CeBIT 2007
To convert large volumes of documents to digital images quickly and reliably and then to manage these images with the aid of a full range of user-friendly and flexible functions these are the demands made on modern storage and archiving solutions. The other side of the coin: digital storage systems require high levels of input and expenditure on migration at regular intervals to guarantee access to the data. The risk of losing data should also not be underestimated. These media, therefore, are not unreservedly suitable for the long-term archiving of data. This is why Microform backs a trustworthy old friend to take care of the job: microfilm, or to be more precise, hybrid storage systems. They combine the flexibility of digital media with the security and economy of microfilm.
Viewed against this background, Microform is launching its new FP 505 Film Processor at this year's CeBIT. This unit is a daylight developing machine for throughput-oriented microfilm production. The fully automatic, deep-tank developing system ensures that the film passes directly from the daylight cassette through the developer bath, intermediate rinser, fixing bath, final rinser, and the final drying unit in a single pass. 16-mm and 35-mm roll films up to 66 m long can be processed irrespective of whether they are perforated or not. Additional comfort and convenience is provided by an illuminated area in the film delivery, where the result can be easily checked immediately after developing.

No more unnecessary overtime! It's time for Happy Hour! This is the latest maxim at Microform GmbH. And it's with this goal in mind that the scanner specialists, with their "Best Image Quality" concept, guarantee their clients efficient scanning solutions and relaxed document capturing from preparation of the documents to subsequent processing of the images.
At the heart of Microform's presence at this year's DMS-Expo in Essen is Smart Color Detection, the enhanced functionality for automatic color detection.
With Smart Color Detection, there's no longer any need to laboriously presort black-and-white and color documents: the scanner decides for itself whether images are going to be scanned and archived in color or bitonal. And the user is able to define theshold values or exclude specific colors completely.
But Smart Color Detection has even more to offer. Every Microform color scanner be it a MF 455 or MF S 655 can be taught to correlate specific tasks with selected color signals: for instance, the start of a new work process and associated creation of separate directories. Or the unit checks whether a color marking is linked with some other characteristic, such as a barcode. If this barcode isn't on the document or can't be read properly, the scanner either interrupts the scanning procedure or outputs a list of the 'faulty' documents at the end of the procedure, depending on what the user has configured it to do.

Clever additions for a perfect scanning solution
March 9 15, 2006: Microform at CeBIT in Hanover
Efficient scanning at maximum speed, with a high level of process automation and optimum access to data that's what intelligent document capturing looks like. To live up to these high aspirations, Microform has developed the Best Image Quality concept. And now with CeBIT in sight, the specialists for archiving systems have further refined this total solution.
Their focus will be on automated color detection. This application now enables users to specify thresholds and define colors on the basis of which the scanner decides whether color or bitonal images are to be created. This helps prevent unnecessarily large volumes of data from being generated without having to presort the documents to be scanned. At the same time, the tool also improves further processing and reliability: the scanner can be taught to detect specific color characteristics in order to simplify processing.
Microform has equipped its systems with yet another extra feature to promote reliable and intelligent data archiving: the digital Scan Signature Module from AuthentiDate. This function ensures legally compliant electronic archiving documents processed can be destroyed without a second thought after being scanned. And it goes without saying that this application can be integrated in all existing Microform installations as should be the case with any user-friendly solution.
Apart from this, another new product in Microform's portfolio is the Digital Film Writer. This unit lets you transfer images already available in digital format to the analog archiving medium microfilm without any great effort. Microfilm is still the most reliable and economic method of archiving documents over long periods because it is neither subject to potentially destructive ageing nor does it involve cost-intensive and risky migration expenditure. The Digital Film Writer is consequently an economical and safe supplement to existing system solutions.

New features at the DMS-Expo 2005
Microform uses DMS to present new innovations in color detection and driver functionality - September 27 29, 2005
Right on time for the DMS in Essen, Germany, Microform is launching a new application for automatic color detection and color processing. This enables Microform systems to decide right from the start, that is, in the scanning process, whether images are going to be scanned and archived in color or bitonal. Whether or not a document is detected as a color document is determined by the user, who is able to define threshold values or exclude colors completely. In doing so, the user can insure that not every sheet of colored paper or every colored stamp is archived as a color image in an unnecessarily large file.
This new color function is also advantageous as regards further processing and reliability. For instance, the user can define colors such as those used in a logo or for marking items as specific detection characteristics. These colors then indicate to the scanner, for example, that a new process is being started and a separate folder has to be created. The scanner can also be taught that a detection characteristic of this kind must be associated with a barcode. If a barcode is not detected, the system depending on the parameters set either stops in its tracks or compiles a list at the end of the scanning session of all those images to which it was not able to associate a barcode.
What's more, Microform is also offering an enhanced driver functionality for even greater flexibility. In addition to the all-inclusive solution that unites Microform's units with the powerful capture software, DpuScan, it is now also possible to control the scanners using standard drivers, making Microform's systems even simpler to integrate in existing infrastructures.

The latest news from China
Shanghai Microtek is Microform's new partner in China.

Pen was put to paper on August 10, 2005: Microform GmbH and Microtek Technology Co. Ltd. are to work hand in hand in China. By entering into this cooperation, Microform is further expanding its presence in the Chinese market. Shanghai Microtek enjoys an excellent market position in the People's Republic, particularly in the banking, public administration and insurance sectors. The company is now enhancing its product range to include Microform's S 655/615 and S 455/415 high-performance scanners, which from now on will also be sold in China under Microtek's label.

New scanner on board
Microform GmbH adds yet another new mid-range color scanner to its portfolio.
The MF S 385 rounds off Microform's mid-range segment of its product portfolio. With a scanning speed of up to 80 pages per minute, it is an economical alternative for companies or departments that require a reliable system for converting medium-sized volumes of mixed documents to full color, grayscale and bitonal images. Its high-quality technical equipment guarantees reliable processing even for larger production volumes.
The beltless paper transport system typical of Microform units and the short transport route enable reliable scanning even of complex documents. Microform conquers Central Europe
On January 1, 2004 Microform became the exclusive distributor of Agfa's MDS product range in Europe. This means that the entire marketing and sales operation for Agfa's tried and trusted Micrographics and Document Systems (MDS) is now in the hands of this experienced and innovative marketing organization.
By taking over the marketing and sales activities in those countries that were until now handled by Agfa's own direct sales organizations, Microform is insuring that the microfilm products, hybrid systems, document scanners and capture solutions from Agfa's MDS range will continue to be readily available in the European market.
In Germany's case, this means that Microform will be providing direct support for existing and new big-ticket customers. Furthermore, it will be intensifying its cooperation with proven and new sales and systems partners. To this end, Microform is strengthening its own team with experienced marketing and sales people from the former Agfa MDS organization.
Techical support and equipment installation activities are being provided by a newly established, highly capable and efficient after-sales service network. This means that Microform, in its role as an Agfa service partner, is offering competent technical service with blanket coverage both to existing Agfa customers with valid service agreements and to new customers.
